Getting started with Phasewise

What Phasewise is, what it replaces, and the first 10 minutes after you sign up.

Phasewise is a vertical SaaS for landscape architecture firms. It handles the operations side of the practice — phases, budgets, timesheets, submittals, MWELO compliance, and billing — so the design work isn't constantly interrupted by admin.

What Phasewise replaces

If you currently run a stack like Monograph + Harvest + QuickBooks + spreadsheets, Phasewise replaces the first two. It sits alongside QuickBooks for accounting (we don't replace that). One subscription instead of three logins.

What we don't replace: AutoCAD, Land F/X, SketchUp, Bluebeam, Lumion, Adobe Acrobat, Microsoft 365. Phasewise is the operations layer, not a design tool.

First 10 minutes after signup

After you sign up and complete checkout, you'll land on the dashboard. There are four things worth doing in your first session:

1. Add your team

Go to Settings → Team management. Click Add member for each staff member. Setting their LA-specific job title (Senior Associate, Landscape Architect, Designer, etc.) auto-populates a sensible billing rate and salary default — you can override either. Each invite generates a shareable link the staff member uses to set their password.

2. Configure your firm's billing info

Go to Settings → Billing info. Enter your remit-to mailing address, EIN/Fed ID, and ACH or wire details if you want them printed on invoices. This information renders on every invoice you send so clients know how to pay.

3. Create your first project

Go to Projects → New Project. The form prompts you for project name, client, contract fee, start date, and the phases you want to track (PreD, SD, DD, CD, BID, CA, POC are pre-loaded). Each phase gets its own budget so you can see burn rates per phase, not just per project.

4. Log your first time entry

Go to Time Sheets. Pick the project + phase, enter hours per day across the week. Click Submit at the end of the week to send to your supervisor for approval. Approved hours flow into invoices automatically.

What to do next

Once you have a project and a few approved time entries, the real value shows up:

  • Dashboard shows budget burn per project at a glance — green/amber/red flags as projects approach 90% of budget.
  • Reports show profitability per project, per phase, and per person.
  • Admin → Project Billing lets you generate invoices that auto-pull approved hours.
